Summary

Cribly is a personal home records assistant. We collect the information you provide about your home and account, the documents, photos, and voice recordings you submit, and basic usage logs needed to operate the service. To power its features, Cribly sends some of this information to third-party AI services — see “Third-party AI services” below. We do not sell your data, and you can delete your account and all associated data at any time from the app.

Information we collect

  • Account information. Your name, email address, and authentication identifiers, provided through our identity provider (Clerk) when you sign in with Google or Apple.
  • Home content. Whatever you tell or upload to the assistant about your home — entities (appliances, rooms, systems), attributes, notes, documents (manuals, receipts, warranties), and photos.
  • Conversations. The chat messages you send the assistant and the responses it returns, so context can be reused across sessions.
  • Voice recordings.If you use voice features (speak mode, push-to-talk, or WhatsApp voice notes), the audio you record is captured and sent for transcription — see “Third-party AI services.”
  • Usage and diagnostics. Timestamped logs of API calls (operations, models used, durations, errors) for operational health, abuse prevention, and billing. We do not use these logs for advertising or profile-building.
  • Device and push tokens. If you opt in to push notifications, we store the browser-level subscription needed to deliver reminders.

How we use information

  • To operate and personalize the assistant's responses.
  • To attach uploaded documents and photos to the right home entities.
  • To send reminders and notifications you have explicitly enabled.
  • To diagnose problems, prevent abuse, and improve reliability.

Third-party AI services

Cribly relies on third-party artificial-intelligence services to power its core features. Before these features are used, the app shows an in-app disclosure and asks you to agree. The data sent, and the providers that receive it, are:
  • Your messages and saved home details are sent to AI language providers — OpenAI by default, and (depending on configuration) Anthropic or Google— to generate the assistant's responses, classify uploads, generate entity images, and produce onboarding and maintenance suggestions.
  • Voice recordings are sent to OpenAI to transcribe speech to text, and the assistant's reply text is sent to OpenAI to generate spoken audio.
  • Photos and documents you upload, including receipts, are sent to OpenAI and/or Microsoft Azure Document Intelligence to read and extract their details.
  • Search terms derived from your questions are sent to Tavily to perform web searches.

Content you forward through inbound channels — your home's email address or WhatsApp — is processed by these same AI services to add it to your home records.

We send only the data necessary for each feature. Content sent to these providers through their API offerings is not used to train their public models, and each provider is contractually required to protect your data with safeguards equivalent to those described in this policy.

Other processors

We also use the following processors to operate the service. Each receives only the data necessary for its role:
  • Clerk — identity and authentication.
  • Supabase — primary database for accounts, homes, entities, tasks, and conversation history.
  • Cloudflare R2 — storage for uploaded documents, photos, and generated entity images.
  • Postmark — inbound email ingestion and transactional email delivery.
  • Twilio — inbound and outbound WhatsApp messages, if you use the WhatsApp channel.
  • Web Push providers (Apple, Google, Mozilla) — push notification delivery if you have opted in.

Observability and diagnostics

To keep the service reliable, we use tooling that records how the service behaves — and because Cribly is a conversational assistant, some of that tooling processes the content of your interactions:
  • Sentry — error reporting. When something goes wrong, a report is sent with technical details of the failure. We configure these reports to avoid personal information where possible.
  • LangSmith— tracing of the assistant's AI calls. Traces include the messages you send, the assistant's responses, and processing of your uploads, so we can diagnose incorrect or failed responses.

This data is used only to operate, debug, and improve the reliability of the service — never for advertising or profile-building — and is retained only as long as needed for those purposes.

Connecting your own AI agent

Cribly lets you connect an AI agent of your choice (for example, an assistant from Anthropic or OpenAI) to your home records. If you do, the data that agent reads — home details, documents, and tasks — is transmitted to that agent's operator and is governed by that operator's terms and privacy policy, not this one. You choose what to connect, and you can revoke an agent's access at any time from Settings. We keep an audit record of connected-agent activity to protect your account.

Your rights and controls

  • Access. Your home record is visible to you at all times inside the app.
  • Correction. Edit any entity, task, document, or note directly from the relevant screen.
  • Deletion. Delete individual records from the app. To delete your entire account and all associated data, use Delete Account in Settings. This is immediate and irreversible.
  • Push notifications. Opt out per device from Settings.

Data retention

We retain your home content for as long as your account is active. Operational logs (usage, audit) are retained for as long as needed for diagnostics, abuse prevention, and billing reconciliation. Deleting your account purges your home content from our database and object storage and removes your identity from our authentication provider.

Children

Cribly is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us and we will delete it.

Changes to this policy

We may update this policy as the product evolves. Material changes will be reflected on this page with a new “Last updated” date.
